Unauthorised absence happens when an employee fails to turn up for work without a good reason or without following your absence reporting procedure.

Sometimes it’s straightforward, maybe someone stayed out too late and slept through their alarm or forgot to phone in when they were sick. But it’s important not to jump to conclusions. There could be a genuine reason, a misunderstanding, or even an emergency you are not yet aware of.

Before you think about disciplinary action, it’s vital to check on the employee’s wellbeing and give them the opportunity to explain. Here’s a simple process to follow:

Try to make contact
Pick up the phone or message the employee directly. Check if they are safe and if there’s any immediate reason for their absence.

Put your concern into writing
If you cannot reach them by the end of the first day, send a letter or email explaining that you are concerned for their welfare. Set a clear deadline for them to get in touch.

If the employee makes contact or returns to work, arrange a conversation to understand what happened. If the absence isn’t justified, that’s when you may need to start a formal disciplinary process. Need support handling absence issues properly and fairly? We're here to help!
